Sample Use Case

Katie owns and operates a small photography business with four employees. When she first started the business several years ago she handled everything herself, including shooting and editing her clients' photos. As the business has grown Katie took more of a management role to ensure everything runs smoothly.

Before she started using Paycadence to accept payments, Katie spent a large portion of her time keeping track of and collecting payments from her customers. Now that she is using Paycadence a huge wait has been lifted off her shoulders and she can spend more time focusing on her customers.

Down Payments

Katie's business takes on many photography sessions each month. For most projects she requires a down payment from her client in order to start working on the job. After the client approves her price for a project, she uses Paycadence to send her client an invoice for the amount of the deposit. The client receives an email with the amount they owe and a custom note from Katie. When the client is ready to make the down payment, they click a link in their email which takes them to a secure invoice payment form hosted on Paycadence.

Invoicing

If it is a new client for Katie, they enter their credit card number in a secure and mobile friendly form and then click the pay button. If they are one of Katie's previous clients, their saved card info is already available as a payment option so that they don't have to spend time finding their wallet and retyping their card information. In either case the payment is securely processed by Paycadence via Stripe. The customer then receives an emailed receipt from Paycadence and Katie can see that the invoice is paid and can go ahead and start the client's project.

Payment Plans

For some clients with larger Projects, Katie puts them on a payment plan. Plans are completely customizable anywhere from daily to annually and everything in between. Katie can either sign her client up for the plan himself, or create a custom sign up form in Paycadence and send the link to her client for them to sign up on their own. Once her customer is on a payment plan, their payment method will be automatically charged on each of the chosen interval dates. Katie can setup simple retry logic so that failed charge attempts are attempted again later. Katie can also look in her Paycadence account and filter her recurring payments based on status. Ther will allow him to easily see if any of her clients are behind on their payments.

Paycadence's recurring payment system works out great for Katie, especially since a large portion of her residual income comes from offering payment plans to her customers. Katie offers monthly, quarterly, and yearly plans and is able to manage all of them through Paycadence.

Virtual Terminal

Sometimes Katie needs to collect payments on site. This is no problem for Katie. She uses a USB Card Swiper to run the customer's card while they are sitting across the desk from him. After she runs the card, the info is added directly to the payment form, then Katie just needs to click submit to finalize the payment.
